Hire Terms & Conditions
These Hire Terms & Conditions ("Terms") apply to all bookings made with The Full Works ("we", "our", "us"). By placing a booking, you ("the Customer") agree to be bound by these Terms.
1. Booking Confirmation
1.1 A booking is not confirmed until:
- We have accepted your booking.
- Any required booking fee or deposit has been received.
- Written confirmation has been issued.
1.2 All hired items remain the property of The Full Works at all times.
2. Quotations
2.1 Quotations are valid for 30 days unless otherwise stated.
2.2 Prices are subject to availability until a booking is confirmed.
3. Payments
3.1 A non-refundable booking fee of 25% of your total is required to secure your booking.
3.2 The remaining balance must be paid no later than [28] days before your event unless otherwise agreed in writing.
3.3 Bookings made within 28 days of the event must be paid in full at the time of booking.
3.4 Failure to make payment by the due date may result in cancellation of your booking.
4. Security Deposit
4.1 We reserve the right to request a refundable security deposit.
4.2 The deposit may be used to cover:
- Damage
- Loss
- Theft
- Excessive cleaning
- Missing items
4.3 Any unused balance will be refunded within 14 days of collection and inspection.
5. Delivery and Collection
5.1 Delivery and collection times are agreed in advance where possible.
5.2 We cannot guarantee exact arrival times due to traffic, weather or circumstances beyond our control.
5.3 Someone aged 18 or over must be present to accept delivery.
5.4 The Customer must ensure clear and safe access to the venue.
5.5 Additional charges may apply where:
- Access is restricted.
- Parking charges are incurred.
- Excessive waiting time is required.
- Delivery locations change after booking.
- Your total order is under £500
6. Set Up and Collection
6.1 Where setup is included, our team will install hired items in the agreed locations.
6.2 Hired items must not be moved once installed unless agreed with us.
6.3 Collection will take place at the agreed time.
6.4 If collection cannot take place due to venue restrictions or Customer actions, additional charges may apply.
7. Customer Responsibilities
The Customer agrees to:
- Take reasonable care of all hired items.
- Keep items secure throughout the hire period.
- Ensure decorations are used only for their intended purpose.
- Prevent children from climbing or playing on hired items.
- Inform us immediately of any loss or damage.
8. Damage, Loss and Theft
8.1 The Customer is responsible for hired items from delivery until collection.
8.2 The Customer will be charged for:
- Lost items
- Stolen items
- Broken items
- Items damaged beyond reasonable wear and tear
8.3 Charges will reflect the replacement or repair cost together with any associated losses where applicable.
9. Candles
9.1 Unless specifically supplied as suitable for use with naked flames, hired décor must not be exposed to candles or open flames.
9.2 Battery-operated candles are recommended.
9.3 Damage caused by wax, smoke or fire will be chargeable.
10. Outdoor Use
Outdoor items are hired at the Customer's risk unless otherwise agreed.
Items must be protected from:
- Rain
- Strong winds
- Excessive heat
- Mud
- Standing water
We reserve the right to refuse installation if weather conditions create an unacceptable risk to people or property.
11. Venue Requirements
The Customer is responsible for ensuring:
- Venue permission has been obtained.
- Decorations comply with venue rules.
- Adequate access is available.
- Suitable parking is available.
Any additional costs caused by venue restrictions may be charged to the Customer.
12. Changes to Bookings
Reasonable changes may be accepted subject to:
- Availability.
- Written confirmation.
- Any additional charges.
Last-minute changes cannot be guaranteed.
13. Customer Cancellations
If the Customer cancels:
- The booking fee is non-refundable.
- More than 28 days before the event: any balance paid beyond the booking fee will be refunded.
- 14–28 days before the event: 50% of the remaining balance is payable.
- Less than 14 days before the event: 100% of the total booking value is payable.
Any bespoke or personalised items are non-refundable once production has begun.
14. Our Cancellation Rights
We reserve the right to cancel a booking where:
- Payment has not been received.
- Unsafe conditions exist.
- False information has been provided.
- Circumstances beyond our reasonable control prevent us from fulfilling the booking.
Where we cancel for reasons within our control, we will refund monies paid. Our liability will not exceed the total amount paid by the Customer.
15. Photographs
Unless the Customer objects in writing before the event, we may photograph our hired items for use on our website and social media.
We will make reasonable efforts not to identify individuals without permission.
16. Force Majeure
We shall not be liable for failure to perform our obligations due to events beyond our reasonable control, including but not limited to:
- Severe weather
- Flood
- Fire
- Pandemic
- Industrial action
- Road closures
- Government restrictions
- Supplier failure
17. Limitation of Liability
Nothing in these Terms excludes liability where it cannot legally be excluded.
Subject to this, our total liability shall not exceed the total amount paid by the Customer.
We are not responsible for:
- Indirect losses.
- Loss of profits.
- Emotional distress.
- Venue cancellations.
- Supplier failures outside our control.
18. Personal Data
We process personal information in accordance with our Privacy Policy.
19. Complaints
Any concerns should be raised within 48 hours of the event.
We aim to respond to complaints within 14 days.
20. Governing Law
These Terms shall be governed by the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
